This notice explains how Ezy Company Pty Ltd trading as Sacred Gems Australia (“Sacred Gems”, “we”, “us”) collects, holds, uses and discloses personal information through sacredgems.com.au, our Brunswick store, customer service, events, marketing and personalised services such as SoulBlueprint.

Information we collect

Depending on how you interact with us, we may collect:

  • Identity and contact details such as name, email, telephone number, billing and delivery address.
  • Order, payment-confirmation, delivery, return and customer-service records. Payment card details are processed by payment providers and are not stored by us in full.
  • Account, saved-object, browsing, device, cookie and analytics information.
  • Marketing preferences and interactions with emails or onsite forms.
  • Information you voluntarily provide in reviews, enquiries, events or consultations.
  • For SoulBlueprint: the reading recipient’s complete birth name in the script supplied, any optional Latin-letter spelling, date and place of birth, birth time and confidence in that time, a traditional calculation setting where required, purchaser email, order number, and optional context.

Please do not send medical records, identity documents or highly sensitive information that we have not requested.

Why we use information

We use personal information to process and deliver orders; provide pickup and customer support; prevent fraud; administer accounts, returns and consumer-law remedies; prepare, quality-check and deliver SoulBlueprint; maintain the security and performance of our services; comply with legal and accounting obligations; and send marketing where permitted. You can unsubscribe from marketing at any time.

Saved objects

The Saved Objects feature in Sacred Gems 3.1 is stored locally in the customer’s browser. The list is not sent to Sacred Gems or attached to an account unless the customer separately enquires or purchases.

SoulBlueprint handling

SoulBlueprint details are used to match the correct order, perform the requested calculations, prepare and quality-check the personalised reading, deliver it, and respond to correction or re-delivery requests. We do not intentionally use identifiable SoulBlueprint birth details or completed readings for public examples, advertising or public-model training without express permission.

Raw intake and working production records are generally retained for up to 12 months after delivery to support correction, quality assurance and service enquiries, then deleted or de-identified unless a longer period is reasonably required. A final delivered reading and minimal delivery record may be retained for up to 24 months to support re-delivery, unless earlier deletion is requested and retention is not otherwise required. Transaction and accounting records may be retained for the period required by law.

Service providers and overseas handling

We use service providers for ecommerce and hosting, payments, email and marketing, analytics, fraud prevention, cloud storage, production and quality assurance, delivery and customer support. These include Shopify and may include Klaviyo, payment providers, Australia Post and software or cloud providers used in SoulBlueprint production. Some providers process or store information outside Australia, including in the United States and other locations in which they or their subprocessors operate.

We limit disclosure to what is reasonably needed for the service and apply available privacy and security controls. We may also disclose information where required or authorised by law, or in connection with a business transfer subject to appropriate safeguards.

Cookies and analytics

We and our providers use cookies and similar technologies for essential store functions, preferences, analytics, advertising measurement and fraud prevention. Browser controls can block or delete cookies, although some store functions may then work differently. Where consent controls are required, they are presented through the site.

Security and retention

We take reasonable technical and organisational steps appropriate to the nature of the information to protect it from misuse, interference, loss and unauthorised access, modification or disclosure. No internet transmission or storage system is completely secure. We review what we hold and delete or de-identify personal information when it is no longer reasonably needed, subject to legal and operational requirements.

Access, correction and deletion

You may ask to access or correct personal information we hold about you, or request deletion where applicable. We may need to verify your identity and may retain limited information where required by law, for fraud prevention, consumer-law administration or dispute resolution.

Children

Our online store is not directed to children acting without a parent or guardian. A parent or guardian may contact us about information submitted by a child.

Complaints and contact

Contact us first so we can investigate a privacy concern. If you are not satisfied, you may be able to complain to the Office of the Australian Information Commissioner or another relevant authority.
